 Job Summary:

We are seeking a vibrant and versatile individual to join the Soulspace team as a Front of House Receptionist / Community Manager / Events Assistant for our founding new coworking and events space. This role offers the opportunity for full-time employment, or a job share arrangement, catering to individuals with varied scheduling needs. The successful candidate/s will combine their exceptional receptionist and organisation skills with community management and coordination to provide outstanding service to our members and visitors. The salary for this position is £30,000 per annum and we are looking for someone to start ASAP.


About Soulspace at The Boathouse

Soulspace is an independent member’s club, coworking and event space with places to work, gather and grow. Situated at The Boathouse, Guildford, a beautiful new building filled with design-led spaces on the banks of the River Wey. Job Responsibilities:

  1. Front of House Reception:
  • Greet visitors and members in a warm and professional manner.
  • Answer phone calls, respond to inquiries, and provide information about our services.
  • Manage the reception area, ensuring it is clean, organized, and welcoming.
  • Handle mail and deliveries, ensuring proper distribution.
  • Maintain a high level of security by verifying access and issuing visitor passes.
  • Assist with administrative tasks such as data entry, scheduling, and maintaining records.
  1. Community Management:
  • Foster a sense of community among Soulspace members.
  • Build relationships with members, understanding their needs and preferences.
  • Address member inquiries and resolve issues promptly and effectively.
  • Help facilitate member events, workshops, and networking opportunities.
  • Promote collaboration and engagement among members, encouraging a positive work environment.
  • Conduct regular check-ins with members to gather feedback and ensure their satisfaction.
  1. Events Assistance:
  • Assist in planning, coordinating, and executing events hosted in our space.
  • Collaborate with event organizers to understand their requirements and provide necessary support.
  • Coordinate event logistics, including room setup, audiovisual equipment, and catering arrangements.
  • Serve as a point of contact during events, ensuring a smooth and successful experience for all participants.
  • Assist with post-event tasks, such as gathering feedback and updating event records.
  1. Building Management:
  • Assist in the overall management and maintenance of the coworking and events space.
  • Familiarize yourself with the building’s systems, including technology and infrastructure.
  • Learn and operate various technological tools, such as security systems, access control, and audiovisual equipment.
  • Collaborate with the management team to ensure the building is safe, secure, and well-maintained.
  • Conduct regular walkthroughs of the premises, identifying any cleanliness, maintenance, or safety concerns.
  • Coordinate with management, vendors and service providers for cleaning, repairs, maintenance, and equipment servicing.
  • Monitor and report any facility-related issues to the appropriate department or personnel.
  • Assist with space planning and utilization to optimize the functionality and efficiency of the facility.
  • Provide guidance and support to members on using the building’s technology and systems effectively.



  1. Experience and Skills:
  • Previous experience as a receptionist, preferably in a hospitality or community-facing role.
  • Excellent communication and interpersonal skills to interact with a diverse range of individuals.
  • Strong organizational abilities and attention to detail to manage multiple tasks effectively.
  • Proficient in using office software and equipment, such as phone systems and computers.
  • Ability to remain calm and professional in fast-paced and demanding situations.
  1. Hospitality and Customer Service:
  • A genuine passion for providing exceptional service and creating a welcoming atmosphere.
  • Proactive and friendly attitude towards assisting members and visitors.
  • Ability to anticipate and fulfill customer needs, going the extra mile to exceed expectations.
  1. Community Engagement:
  • Understanding of community-building principles and experience fostering connections or desire to build these skills through training and experience.
  • Ability to develop and maintain positive relationships with diverse individuals.
  • Excellent listening skills and empathy to address member concerns and provide support.
  1. Event Coordination:
  • Strong organisational skills to help execute successful events.
  • Ability to manage event logistics and work well under pressure.
  • Flexibility to adapt to changing event requirements and solve problems proactively.

Job Information

Start Date: ASAP

Hours: Monday-Friday, Full time 45 hours per week, hours variable between, 7.30am and 6.30pm (to be discussed). Some out of hours work might be required and offered back as time in lieu.

Holiday: 22 days plus bank holidays

Salary: £30,000 (full time).
